The suspense account that won't clear
A suspense account has exactly one legitimate state: nil. It exists as a parking space — somewhere to put a transaction for the hour or the day it takes to find out what it actually is. The moment a balance persists, the account has changed function: it has become a count of the transactions nobody could categorise, and a quiet admission that both the profit and loss account and the balance sheet are wrong by an unknown amount.
Why suspense balances persist
Almost never through laziness. In practice the same few causes come up again and again:
- Bank feed orphans. Receipts and payments that matched nothing — no invoice, no bill — posted to suspense "for now", where now became eighteen months.
- Opening balance plugs. A system migration that didn't balance, forced through suspense so the new ledger would open. The difference was real; it was just never found.
- Fear of the wrong answer. The person doing the books knows a receipt is probably a director contribution, but isn't certain — so it waits for an answer that never comes. Suspense grows in businesses where nobody is empowered to decide.
- Rounding's big sibling. Reconciliation differences pushed to suspense (or a "rounding" account carrying thousands) to make a reconciliation "work". The reconciliation didn't work; the difference just moved house.
What a suspense balance tells you about the whole file
This is the part that matters if you're reviewing someone else's books — a prospective client's, say. A suspense balance is rarely an isolated defect. It's a symptom of a process where transactions can enter the ledger without a decision being made — and if that's true for these items, it's usually true elsewhere: in the miscodings you can't see, the catch-all "sundry expenses", the manual journals with nothing behind them. In a pre-engagement review, a persistent suspense balance should raise your estimate of everything else you'll find.
Clearing it — the systematic way
- Pull the full account transaction listing for the suspense account, oldest first. Not the balance — the entries. A £1,488 balance might be two items or two hundred; the work is priced per item.
- Classify each entry by evidence available: (a) obvious once looked at — recode immediately; (b) needs a document — request it; (c) needs a decision from the director — put it in writing and get the answer in writing.
- Recode with a dated narrative on every correcting entry, so the trail shows what each item was and why it moved. A cleared suspense account with no audit trail is half a job.
- Fix the inlet, not just the pool. Whatever kept feeding suspense — an unmatched feed rule, an unresolved opening balance, an unempowered bookkeeper — gets addressed, or the balance regrows.
- Institutionalise nil: suspense reviewed and cleared as a standing month-end step. It is allowed to be used; it is not allowed to age.
